Job Summary
Supports Ohio Motorists Association's (OMA) Groups, Meetings & Incentives (GMI) Department by developing air, cruise, tour, and motorcoach groups to meet the needs of customers and increase profitability.
Job Duties
- Assures assigned groups, meetings, and incentive programs meet quality travel and customer service standards and support preferred supplier programs.
- Prepares, plans, and prices assigned group tour programs, including affinity groups, and submits to manager for approval for a maximum return on investment. Prepares a breakeven analysis for each program and manages all fixed and variable costs accordingly.
- Closes out and prepares accurate accounting records for final billing with travel suppliers.
- Provides accurate and detailed information for tracking and analyzing sales commissions and submits results to manager for approval.
- Negotiates with travel suppliers; i.e. airlines, cruise lines, hotels, transfer companies, etc. and submits to manager for approval to place group reservations. Processes and forwards payments as necessary.
- Prepares flyers, brochures, direct mail pieces and other appropriate promotional materials. Maintains group travel customer mailing list(s).
- Assists with preparation of departmental operating plans and budgets and contributes to OMA Corporate Planning. Maintains appropriate financial records in compliance with OMA accounting procedures.
- Prepares correspondence, i.e. customer and/or supplier inquiries, problem resolution, etc., consistent with AAA/OMA customer service standards.
- Verifies, for total accuracy, all client documents; coordinates preparation and distribution of documents.
Qualifications
- High School GED Required
- 4-6 years Travel sales or related experience. Required
- Ability to create a positive customer service environment by treating members, non-members and fellow associates tactfully, diplomatically and courteously.
- Excellent communication skills, both verbal and written; ability to communicate effectively in person and over the telephone with clear speech and good grammar; ability to compose and type correspondence, using proper English, spelling and punctuation.
- Excellent interpersonal skills; ability to treat customers and co-workers in a professional manner (tactfully, diplomatically, politely and courteously).
- Excellent customer service skills; ability to maintain a professional, customer service attitude while working with members, public, associates and others.
- Excellent listening, problem solving, organizational and team building skills.
- Ability to handle stressful situations in a calm manner and be flexible in a fast paced, constantly changing environment.
- Excellent sales and presentation skills.
- Ability to perform work assignments accurately, neatly and thoroughly; must be detail oriented.
- Ability to perform moderately complex mathematical calculations and operate common office machines, e.g., fax, copier, calculator, etc.
- Personal computer proficiency in word processing, spreadsheet and presentation software applications in Windows environment; good knowledge of Internet and Apollo; database experience, preferred.
- Ability to show sound judgment, initiative, discretion and maintain confidentiality.
- Ability to successfully complete various training programs, both internal and external, as required.
- Certified Travel Counselor (CTC) - The Travel Institute Preferred
