About this role

The Administrative Coordinator provides comprehensive administrative, operational, and compliance support at the site level. This role supports Site Managers by managing essential office functions, enabling leaders to focus on strategic activities, safety performance, client engagement, staffing accuracy, and operational excellence. This position is responsible for daily office administration, new hire onboarding support, communication with Education Services clients, data entry, attendance tracking, reporting, and compliance-driven tasks across multiple sites. The role ensures the accuracy, consistency, and completeness of site-level information while maintaining high standards of organization and service.

Pay: $18.00/per hour. 

The pay listed is the hourly range or the hourly rate for this position. A specific offer will vary based on applicant’s experience, skills, abilities, geographic location, and alignment with market data.

 

 

401(k) – You become eligible to make personal contributions beginning the first of the month following 30 days of employment. You become eligible for the ABM match beginning the first of the month following six months of employment. ABM matches your pre-tax and/or Roth contributions, dollar for dollar, for the first 3%. Responsibilities

Administrative & Office Support 

  • Performs all basic office administrative tasks, including answering phones, filing, data entry, ordering supplies, and maintaining office organization. 
  • Corresponds directly with Education Services clients, ABM staff, employees, and site partners. 
  • Tracks daily employee attendance, communicates missed punches, and assists employees with questions or concerns. 
  • Maintains safety records and digital/physical documentation for HR, operations, training, and payroll compliance. 
  • Supports Project Managers by managing daily, weekly, and monthly administrative tasks that support operational delivery. 
  • Coordinates roster updates, shift patterns, and attendance records to ensure accuracy and alignment with staffing requirements. 

Hours Tracking, Payroll Input & Financial Accuracy 

  • Completes accurate Epay payroll inputs, including hours worked, PTO, shift changes, cross-site support, and retro adjustments. 
  • Ensures correct Epay Sub usage and supports documentation for shift swaps, added shifts, or cross-support labor. 

Recruitment, Onboarding & Talent Support 

  • Supports new hire onboarding, including I-9 coordination, new hire paperwork, site orientation, badge activation, and uniform distribution. 
  • Maintains onboarding checklists and hiring support documentation. 

Compliance, Governance & Reporting 

  • Ensures accurate completion of compliance requirements such as training updates, safety reporting, accident logs, roster reviews, and corrective actions. 

Communication & Coordination 

  • Serves as the administrative point of contact for the Project Managers. 
  • Coordinates communications between ABM teams, including HR, TA, Payroll, Finance, and BIT. 
  • Provides supervisors and shift leaders with organized, timely updates on rosters, schedule changes, and operational matters. 
  • Builds and maintains strong relationships with client and site-level stakeholders. 

Process Improvement 

  • Identifies opportunities to streamline administrative processes through standardization and improved workflows. 
  • Supports rollout and adoption of new systems, reporting tools, and governance updates. 
  • Provides field-level feedback to central teams to improve tool usability and reporting accuracy. 

Other Duties as Assigned 

Job duties may be modified at any time to support operational needs, compliance changes, or organizational initiatives. 

Qualifications

  • Bilingual: English & Spanish 
  • High school diploma or GED required; associate’s degree or administrative certification preferred 
  • 1–2 years of administrative, operational support, or office management experience (experience in facilities, logistics, or distribution preferred) 
  • Proficiency in Microsoft Excel, Outlook, Teams, and data entry systems 
  • Strong ability to interpret and manage hours, payroll inputs, and staffing schedules 
  • Excellent written and verbal communication skills 
  • Highly organized with ability to manage multiple tasks and meet deadlines 
  • High attention to detail with consistent accuracy in reporting 
  • Ability to work effectively with Site Managers, HR, TA, and operations teams 
  • Self-motivated, reliable, and able to work independently 
  • Strong interpersonal skills and ability to work within a diverse workforce
