Position Summary
The Aftermarket Upfit Coordinator is responsible for coordinating customer orders from receipt through fulfillment, managing part setup activities, maintaining order status accuracy, and facilitating communication with customers and internal stakeholders. This role helps ensure orders are processed efficiently and customer commitments are met.
Key Responsibilities
Supply Chain Operations: Understand and support the end-to-end aftermarket workflow, including quotes, order processing, part sourcing, pricing updates, and lead times. Coordinate the timely movement of parts and information across internal teams and external vendors.
Data Accuracy & Systems Management: Enter and maintain accurate data across ERP systems, spreadsheets, and tracking tools. Vet new part purchase orders to ensure accurate vendor information, part numbers, and related data. Maintain accurate order status information and estimated ship dates.
Order Status Management: Maintain accurate order status throughout the lifecycle of each customer order. Update and track estimated ship dates (ESDs), monitor open orders for potential delays, and proactively follow up on outstanding actions. Document status updates and escalate issues that may impact on-time fulfillment or customer commitments. Ensure order tracking tools and systems are updated consistently and accurately.
Inbox & Workflow Management: Assist with shared inbox management by ensuring customer orders are processed, prioritized, and filed in accordance with established timelines.
Problem Solving & Issue Resolution: Identify discrepancies involving vendor information part numbers and estimated ship dates. Investigate issues and work with cross-functional teams to resolve them quickly and prevent recurrence. Escalate issues that could impact customer commitments or order fulfillment.
Cross-Functional Collaboration: Provide backup coverage for other coordinators as needed. Support workload balance and shared team objectives. Collaborate with internal stakeholders to ensure timely order execution and customer satisfaction.
Time Management & Prioritization: Effectively manage multiple urgent requests and competing priorities. Organize and prioritize work to meet deadlines and customer commitments. Demonstrate accountability and follow-through on assigned tasks.
Responsibilities
Education, Licenses, Certifications:
High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
This position may require licensing for compliance with export controls or sanctions regulations.
Experience:
Requires some work experience and intermediate level knowledge obtained through training or on-the-job experience.
Qualifications
- 1-3 years of experience in customer service, supply chain, order management, purchasing support, or a related field.
- Experience with ERP/MRP systems and Microsoft Office applications preferred.
- Manufacturing or aftermarket industry experience preferred.
