Job Description:



L3Harris is seeking an experienced Administrative Assistant to provide comprehensive administrative and staff support for the Mission Critical Communications International Business Unit. The ideal candidate demonstrates exceptional integrity, professionalism, and a strong work ethic. This role requires excellent customer service, precise task management, strong problem-solving capabilities, and the ability to adapt to changing priorities within a fast-paced environment. The individual must be comfortable working independently or collaboratively and able to effectively interact with all levels of management.



Key Responsibilities:

·        

Provide proactive support by anticipating and executing on the administrative needs of the international business unit.

·         Manage executive and team calendars; schedule and coordinate in person and virtual meetings, events, interviews, and appointments; reserve conference rooms.

·         Create and maintain Excel spreadsheets, PowerPoint presentations, reports, and action item logs.

·         Accurately document meetings and publish timely meeting minutes.

·         Maintain and organize administrative folders and content in SharePoint.

·         Edit, compile, and manage weekly reports, including issuing deadline reminders.

·         Answer, screen, and route incoming phone calls; assist callers with inquiries.

·         Coordinate and track workspace assignments; prepare spaces for new hires and office moves.

·         Arrange domestic and international travel; assist with timely expense report submissions.

·         Process purchase requests, Non POs, P Card transactions, cost transfers, and other procurement activities (Ariba, SAP, etc.).

·         Manage office supply inventory and process orders.

·         Monitor timecard submissions and ensure timely completion.

·         Maintain the department organizational chart

·         Handle documentation and assets in accordance with security requirements.

·         Sort incoming mail and process interplant mail.

·         Manage and update email distribution lists and permission groups.

·         Support creation of presentation materials for senior executive briefings.

·         Plan and coordinate events of varying size and complexity.

·         Adhere to all company policies and procedures due to the confidential nature of the work.

·         Perform additional duties and assignments as needed.



Basic Qualifications:

·         High School Diploma or equivalent and a minimum of 8 years of relevant experience, or an Associate’s Degree with a minimum of 4 years of prior related experience.



Preferred Qualifications:

·         Proficient in Microsoft PowerPoint, Word, Excel, and Outlook.

·         Experience working with international customer groups.

·         Familiarity with enterprise procurement processes and tools such as Ariba and SAP.

·         Strong customer service orientation with excellent communication, judgment, problem solving, and interpersonal skills.

·         Highly organized, resourceful, detail oriented, and able to anticipate needs and take initiative.

·         Comfortable working with executives, managers, customers, and cross functional administrators.

·         Able to manage multiple tasks and projects simultaneously.

·         Flexible and adaptable to changing priorities.

·         Willing to work occasional extended hours as needed.

·         Ability to lift / move items less than 5 pounds.

·         Must be able to work on site in Rochester, NY.

In compliance with pay transparency requirements, the salary range for this role in New York state is [$59,000 - $110,000]. This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
