About this role
Exempt: Yes
Department: Administration
Reports To: Executive
Location: Based in La Jolla, CA
Company Description
TruMed Systems is a growing vaccine storage and medical product inventory management company, founded in 2012. Its AccuVax® and AccuShelf® systems bring automated inventory management to the point of care, supporting product efficacy and patient safety for individual clinics, major health systems, and public health facilities nationwide.
We have hardware deployed in the field, recurring software revenue, and inventory that must be accounted for accurately across purchasing, deployment, service, and replacement cycles.
Position Summary
This is a hands-on finance leadership role in a company that needs to move beyond spreadsheet-led finance. The Controller will bring discipline to the close, visibility to cash, and operating leverage to NetSuite, keeping Excel for the analysis it is genuinely best at.
In this role, you will personally close the books, build the cash forecast, own the models, improve the systems that produce the numbers, and shape the finance team as automation absorbs more routine work. You will work directly in NetSuite, the general ledger, and reconciliations, with direct access to the Executive Chairman on capital strategy, fundraising, investor matters, and board reporting.

Key Responsibilities
Close, controls, and technical accounting
- The monthly, quarterly, and annual close, executed personally — journal entries, accruals, reconciliations, flux analysis — on a five-business-day close calendar
- Accurate, timely financial statements under U.S. GAAP
- Revenue recognition under ASC 606 across device sales, placed equipment, subscription, and service, including multi-element arrangements; ASC 842 lease accounting as appropriate
- Inventory and COGS — standard costs, cycle counts, reserves, and accounting for units in the field
- Balance sheet — subledgers, fixed assets, prepaids, accruals, and deferred revenue — reconciled and supportable every month
- Internal controls proportionate to our size
Cash and treasury
- The 13-week rolling cash forecast — updated weekly and accurate enough for the board to act on
- AR collections, AP timing, and working capital, with the goal of driving cash conversion cycle improvements
- Day-to-day banking, covenant compliance, lender reporting, and supporting schedules for capital and investor-related discussions
Systems and automation
- Functional ownership of NetSuite — configuring, improving, and extending it directly
- A prioritized plan to eliminate manual workarounds and side spreadsheets, sequenced by effort and impact, so bank feeds, AP workflow, billing, revenue and inventory postings, subledger integration, and standard reporting run inside NetSuite instead of Excel
- The integrations between NetSuite and Salesforce, banking, payroll, and expense systems
Analysis and reporting
- The monthly management reporting package and financial board materials, combining operating KPIs with financial statements on a cadence leadership can use to run the business
- The annual budget and rolling forecast — build the model, drive department heads to their numbers, and consolidate; targets are set with the Executive Chairman
- Fast-turnaround ad hoc analysis — gross margin by product line, unit economics, pricing, customer and product profitability, departmental spend, and pro forma modeling
Compliance
- Primary contact for external auditors, leading the annual audit from your first full cycle forward
- External tax preparers across income, sales, and property tax; state registrations and statutory filings kept current
- Recruits, trains, supervises, motivates, and develops accounting staff; manages schedules and workflow.
- Assigns duties and monitors quality of work; assures staff conforms to organizational policies and procedures and government regulations.
- Provides day-to-day guidance and oversight of subordinates; actively works to promote and recognize performance.
- Keeps up to date on overall activities of the team, identifying problem areas and taking corrective actions.
Experience, Skills and Competencies
- Active CPA. If your license is currently inactive, we are open to candidates who are willing to reactivate it
- 8+ years in accounting, including at least 3 years as a Controller, Assistant Controller, or hands-on Accounting Manager where you personally executed the close rather than supervising it
- Physical product accounting. Inventory, COGS, and standard costing in a company that ships hardware, including units deployed in the field
- ASC 606 in a multi-element environment (hardware plus subscription plus service)
- Recent experience in a lean finance organization. If you are coming from a larger company, you should have operated without a shared-services infrastructure behind you
