What you'll do: 

1. Manage and oversee documents for a particular project or for an entire organization. Ensure the proper documents are created and signed, that all data is accurate and that documents are stored and backed up and any retention policies are followed.

2. Collect, scan and upload documents following set procedures and Ensure all technical documents, such as reports, drawings and blueprints, are collected and registered in electronic system

3. Records across various departments, including human resources, marketing and construction. Responsible to establish maintain and follow-up general and specific requirements and rules for engineering numbering, automatic project tools and tagging for the whole project

4. Monitor that the documents control system is effectively tracked throughout the project, review process in connection with the engineering processes according to the review procedures.

5. Monitor the process and ensure that documents are not overdue and follow up that Document For Operations (DFO) dossiers are prepared and monitor status. Manage project technical document systems and develop required document management procedures

6. Provide advice on the application of the Administrative and Technical document control policies, standards, processes and procedures. Ensure that the storage, maintenance and traceability of documentation is in compliance with project requirements.

Compliance: 

  1. Support the implementation and maintenance of the Environmental Management System (EMS) in accordance with ISO 14001, ensuring compliance with environmental regulations and promoting continuous environmental performance improvement.
  2. Promote and maintain a safe and healthy work environment by supporting the Occupational Health and Safety Management System (OHSMS) in compliance with ISO 45001, identifying hazards, assessing risks, and driving continuous improvement in workplace safety.
  3. Support the implementation and monitoring of the Anti-Bribery Management System (ABMS) in accordance with ISO 37001, ensuring compliance with anti-bribery policies, due diligence, and promoting a culture of integrity and transparency.
  4. Employees are expected to comply with the ISO 9001 Quality Management System by following established procedures, maintaining accurate records, and contributing to continual improvement. This ensures alignment with the organization's commitment to quality, efficiency, and customer satisfaction.
What you'll have

1. Capability to maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability. Ensure that effective back-up, security and disaster recovery systems are implemented for project documentation.

2. Have capability to maintain the files and control logs as required by the project. Ensure all document control work is in compliance with the management system and project procedures as applicable at all times. Follow up Document Control Reports as requested by the team e.g. overdue, status, etc.
