Job Summary The Pharmacy Manager is responsible for overseeing the daily operations of the pharmacy and providing supervision of pharmacy technicians and staff pharmacist, students and residents.
The Pharmacy Manager will deliver quality pharmacy services, collaborating with primary care physicians and staff to improve the health of Virginia Garcia patients. Pharmacy services will include assisting medical personnel and patients with drug information and identification, developing and sustaining productive patient relationships, evaluating and resolving potential drug therapy problems identified through any and all available sources, patient counseling, prescription verification, adherence to state and federal pharmacy laws, precepting students and interns, assisting with supervision of technical staff, pharmacy cashier and support staff, and participation in projects assigned by Pharmacy Director.
The person holding this position will be responsible for supervision of pharmacy staff, including but not limited to pharmacists, pharmacy technicians, students and residents. This role will include hiring, firing and disciplinary actions and access to confidential personnel information.
Essential Duties and Responsibilities • Provide onsite hands-on supervision and coaching of pharmacy technicians and staff pharmacists. • Conduct timely performance evaluations of staff • Maintain appropriate staffing for services offered and makes hiring and dismissal recommendations to the Pharmacy Director • Confer with Pharmacy Director and human resources on all employee disciplinary actions • Keep pharmacy functioning smoothly • Assures ongoing training of pharmacy technician staff and staff pharmacists • Oversee the day-to-day operations of the pharmacy • Responsible for the yearly Oregon Board of Pharmacy PIC • (Pharmacist In Charge) report • Responsible for the Oregon Board of Pharmacy quarterly schedule • drug reports • Oversee/submit weekly Sharing the Care report and Oregon Drug • Monitoring Program narcotic use report • Oversee/submit monthly pharmacy reports to VG accounting office • Oversee writing off monthly internal transfers and submittals to VG • accounting and writing off and tracing outdated stock • Oversee Returns of outdated controlled substances back through a reverse distributor • Oversee archiving and sending old records to storage • Ensure efficient pharmacy workflow • Documenst and report medication errors to Pharmacy Director • Maintain records of all transactions of the pharmacy necessary to ensure adequate control over and accountability for all drugs as required by applicable state and federal laws, rules and regulations ensuring meeting all inspection and other requirements governing pharmacy operations. • Schedules vacations and other leave of pharmacists and pharmacy technicians in conjunction with other Pharmacy Managers • Review and enter prescription on computer software, fill and label prescriptions • Resolve clinical questions regarding patient prescription with provider staff; answer clinical questions from provider staff, researching when necessary • Counsel patients on all new prescriptions, utilizing assistance from bilingual staff; willing to acquire Spanish skills to counsel patients solo over time. • Medication Therapy Management (MTM) involving assessing the patient, screening for drug interactions and adverse effects, providing disease/medication education and exploring opportunities to simplify and/or decrease the cost of the medication regimen. • Supervise performance and accuracy of technical staff as required by Oregon Law, offering guidance and troubleshooting errors as they occur. • Provide yearly performance evaluations for pharmacy technicians. Supervise pharmacy technicians to ensure quality customer service, observance of HIPAA requirements regarding patient confidentiality, and the highest regard for patients of Virginia Garcia. • Provide timely feedback on performance and • Oversee training of pharmacy technicians • May include precepting pharmacy students from various pharmacy schools and pharmacy technician schools, attending or presenting in-services in conjunction with medical staff, participation in clinic committees, assisting with training pharmacy technicians, education reviews (MTM) and other pharmacy services. • Projects assigned appropriately based on professional skill areas, • experience and interest • Handle protected health information (PHI) in a manner consistent with the Health Insurance Portability and Accountability Act of 1996 (HIPPA) • Perform other duties as assigned.
HIPPA Requirements The Pharmacy Manager will have access to PHI in the course of carrying out their duties. The Pharmacy Manager will use PHI to provide medications to patients, to evaluate medication profiles for quality of care and safety, and to consult with providers regarding patients’ medications. The Pharmacy Manager will also be involved in overall quality of care discussions with the other health care providers at the Center. Applying the minimum necessary standard of HIPAA, the designated record sets to which this employee will have access include: the full medical record, the pharmacy patient chart, the demographic, scheduling and insurance information of the practice management systems and all information in the pharmacy management computer system including billing and insurance information, prescription files, and patient profiles.
Knowledge, Skills and Abilities required ● Ability to self manage and effectively manage pharmacy technicians and staff pharmacists ● Ability to work in a timely, accurate and detail-oriented manner ● Logical decision-making skills ● Ability to embrace change and innovation when appropriate. ● Good patient, provider and staff communication skills, Spanish skills desired ● Strong commitment to working with patients and staff from a wide range of ethnic, economic, cultural and social backgrounds
Education and Experience • Registered Pharmacist in good standing with the State of Oregon • B.S. or Pharm.D degree. • Preceptor registration required upon meeting minimum eligibility requirements. • Current and valid Basic Life Support Certification required. Must maintain current certification with a recognized provider
Desirable Attributes and Experience ● Minimum two (2) years experience as staff pharmacist is desirable ● Previous position as PIC desirable ● Additional training or clinical pharmacy experience desired, which may include disease state management, long-term care or institutional pharmacy experience, pharmacy students, or collaborative work with physicians/NP/RNs.
State and Federal Pharmacy Requirements Staff pharmacist(s) must not have any sanctions or restrictions on pharmacy license. Will be required to submit to background check; may be required to have drug screening at request of supervisor (Pharmacy Director). Must be willing to submit to drug testing if requested by supervisor (Pharmacy Director)
