HIM Scanning & Indexing Analyst
Position Summary
The HIM Scanning & Indexing Analyst is responsible for supporting Health Information Management (HIM) scanning, document imaging, indexing, and electronic medical record workflows. This role will ensure that clinical and administrative documentation is accurately scanned, indexed, quality-checked, and made available in the appropriate patient record.
The ideal candidate will have hands-on experience with HIM scanning and indexing workflows within a hospital or health system environment. Cerner experience is strongly preferred, particularly experience working with document imaging, medical record systems, and HIM workflows.
Key Responsibilities
Perform and support scanning, indexing, and document management activities within the HIM department.
Accurately scan paper and electronic documents into the appropriate electronic medical record.
Index documents using appropriate patient identifiers, document types, encounter information, dates, and other required metadata.
Perform quality assurance checks to ensure documents are legible, complete, correctly indexed, and associated with the correct patient record.
Identify and resolve scanning, indexing, and document-quality issues.
Research and correct incorrectly indexed, misfiled, duplicate, or incomplete documentation.
Work with HIM staff and clinical/business teams to resolve document management and medical record issues.
Follow established HIM policies, procedures, and regulatory requirements related to medical record documentation and patient information.
Assist with scanning/indexing backlogs, document reconciliation, and remediation activities as needed.
Support conversion, migration, or system implementation activities involving scanned documents and historical medical records.
Assist with testing and validation of scanning and indexing workflows when new systems, applications, or processes are introduced.
Maintain a high level of accuracy while processing large volumes of medical record documentation.
Protect patient confidentiality and comply with HIPAA and organizational privacy and security requirements.

Required Qualifications
Previous hands-on experience with HIM scanning and indexing is required.
Experience working in a hospital, health system, medical records, or HIM environment.
Demonstrated understanding of medical record document types, indexing standards, and electronic document workflows.
Experience performing document quality control and resolving indexing errors.
Strong attention to detail and ability to accurately process high volumes of documentation.
Understanding of HIPAA, patient privacy, and medical record confidentiality.
Strong organizational, analytical, and problem-solving skills.
Ability to work independently as well as collaboratively with HIM, clinical, and IT teams.
Preferred Qualifications
Experience with Cerner Millennium and/or Cerner electronic medical record workflows.
Experience with document imaging/scanning applications such as OnBase, Hyland, ImageNow/Perceptive Content, or similar platforms.
Familiarity with MPI/patient identification and medical record reconciliation.
Previous experience supporting HIM system upgrades or workflow optimization.
RHIT, RHIA, or other HIM-related certification is a plus.

PHYSICAL DEMANDS OF THE ESSENTIAL FUNCTIONS:
Sitting, talking, hearing and near vision are required over 90% of the time. Feeling is required over 90% of the time and reaching is required about 50% of the time. The ability to travel to field sites may be required up to 15% of the time.
WORKING CONDITIONS WHILE PERFORMING ESSENTIAL FUNCTIONS:
Over 90% of the time is spent indoors, with protection from weather conditions. Exposure to noise levels that may be distracting or uncomfortable is present in only unusual situations.
