Required Qualifications (as evidenced by an attached resume): Bachelor’s degree (foreign equivalent or higher). Three (3) years of full-time experience with facilities and/or event operations relates to any combination of the following: room setups, scheduling, audio/visual production, and/or tenant relations.
Preferred Qualifications: Master's degree (foreign equivalent or higher). Supervisory experience (student supervision may be considered). Experience working with students on campus events. Experience with inventory management. Experience with facilities inspections. Experience working with and troubleshooting A/V equipment (i.e. microphone, video camera, laptops, etc). Experience with 25Live or other scheduling software systems(e.g. CVENT, EventBrite, Social Tables, Collaborate). Experience with collaborative computer programs such as Microsoft or Google Apps.
Brief Description of Duties: Reporting to the Assistant Director of Operations, the primary responsibility of the Operations and Events Manager will be to maintain the safe and operational facilities for two student centers with a concentration on event day operations. The Student Centers offer a variety of spaces and many of our rooms can be customized; whether you are hosting a quick meeting or planning a large banquet, we always strive to bring the magic! The Student Centers Operations and Events Manager will oversee weekend/night programming. The position supervises or jointly supervises undergraduate and graduate student employees as well as credit-bearing internships. Therefore, they must have the ability to lead a dynamic, diverse workforce. The successful incumbent will have excellent customer service and interpersonal skills, exercising strong organizational and time-management skills with an outstanding attention to detail. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem solving.
Building Operations:
Manage the indoor and outdoor spaces within the Campus Life Centers footprint, to include areas such as courtyards, meeting rooms, common areas, offices, storage areas, auxiliary services, and event spaces. Open/Close the facilities assigned year-round, including holidays and inclement weather; assist with covering schedule gaps as needed. Maintain inventory of furniture, fixtures, and equipment (FF&E). Work with vendors and campus partners (such as access control, campus maintenance, and custodial) to repair and clean the facilities. Conduct daily rounds.
Serve as the departmental liaison for the 7point Ops system. Assign and manage tasks within the platform, add and remove staff as needed. Serve as system superuser, overseeing functionality and permissions. Ensure integration of 7-point ops with 25live scheduling system. Coordinate with the vendor to troubleshoot and resolve issues that might arise.
Event Execution, Safety and Security:
Manage the pre-day-of, and post event set-up workload to include security plans, setup reviews, switchovers, vendor deliveries, custodial attention, staffing, and A/V production. Provide support for events of varying complexity. Document and communicate day-of concerns with campus partners. Find creative, collaborative solutions to address urgent production concerns.
Oversee building security and safety. Maintain safety standards and ensure compliance with regulatory agencies and University policies and procedures and communicate relevant safety information with building occupants. Conduct routine safety checks and aid in emergency situations during routine and non-routine working hours. Maintain fire evacuation procedures as part of the fire warden program. Serve as the primary point of contact for all tenants and guests of the student centers, including state offices, student organizations, auxiliary service, and event organizers. Liaise with emergency services during critical incidents and drills, such as with University Police and Fire Safety.
Staff Supervision:
Recruit, supervise, and schedule student employees and interns. Coordinate and deliver formal unit-wide training and certification programs. Identify opportunities for training and skills advancement.
Professional Development and Committee Involvement:
Participates in opportunities that promote their learning, growth, and development (i.e., classes, training, committees, webinars). Contribute to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas outside of your individual unit/department (i.e. campus wide traditions, events, programs, etc.).
Other duties or projects as assigned as appropriate to rank and departmental mission.
Hours outside the typical schedule will be required at times.
Special Notes: This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
Salary: $68,000-$71,000 + $4,000 Location Pay = $72,000-$75,000 Total Compensation In addition to the employee's base salary, this position is eligible for $4,000 UUP annual location pay, paid biweekly.
Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are canceled, and the campus is working on limited operations in an emergency.
