Job Summary
Responsible for coordinating and implementing the organization and administration of the didactic phase of the Physician Assistant Program under the guidance of the Chair/Program Director. Implements and manages registration for didactic and clinical education.
Essential Functions
Manage didactic curriculum
Plan, initiate, and coordinate classroom scheduling.
Prepare Excel spreadsheet with additional classroom requests to CNHP. Review in Campus Reservation System
Identify and develop seminar and lab schedules; coordinate with Program Director to determine faculty teaching assignments and disseminate that information to faculty as instructed by supervisor
Populate student and faculty/staff online calendars for each term and manage, update, and review on weekly basis; coordinate with lecture schedules
Complete final exam requests for classrooms via Associate Director, Academic Operations & Service
Prepare Canvas list for Instructional Systems Administrator for population of course shells; responsible for updates including removing students as necessary
Compose list of outside lecturers/dates for HSB Security to gain access into building and send to CNHP Deans Operations prior to each term o Initiate guest lecturer confirmation/email reminders requesting lecture handouts/Power Point presentations o Complete SIAASGN faculty position information via Banner
Maintain student grades in cohort spreadsheet through didactic year
Archive all didactic syllabi to server every term
Confirm course evaluation completion and on-time grade submissions
Track student attendance in didactic courses
Registration o Activate/verify courses for each academic year
Activate courses from term block schedule including lectures and labs in CLSS.
Work with Associate Director, Academic Operations & Service and Registrar for approval o Register didactic year students; compose registration instructions including CRNs and distribute to clinical students
Audit registration and follow up to ensure accuracy; refer students with holds and registration issues to Academic Advisor
Register students for Graduate Project I and II / Clinical Literature Appraisal and Scholarly Analysis
Provide Clinical Support Coordinator with class lists of clinical students for review; follow up for accurate completion o Provide degree application information to students; audit and ensure graduating students meet deadline
Share course registration information, student lists with IDs, and identify Bridge students to academic advisor
Other Duties
Responsible for Team, Curriculum, and Progress Committee & Retreat meeting minutes; file in Teams; other committees as assigned
Schedule and plan student related activities such as board review course, class meetings, PA week activities, etc.
Event planning – white coat ceremony, senior celebration, orientation - as part of events committee
Maintain confidential student records, including quarterly transcripts
Assist department leaders and committees with reporting to include preparation of accreditation reports, department/program review reports, supporting materials, and organization of ARC-PA visits
Assist with department administrative tasks
Assist with program’s social media initiatives and marketing campaigns as needed
Supervise work study students as needed o Obtain faculty office hours each term and post to Canvas
Perform other duties as assigned by supervisors
Required Qualifications
Minimum of a Bachelor's Degree in Higher Education Administration, Higher Education Development, Business Administration, Marketing, or a related field or the equivalent combination of education and work experience.
Three years of progressive experience in a university administrative position.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office365 software programs including Teams and Sharepoint.
Ability to work diplomatically and collaboratively with faculty and with administrators and support personnel in other university offices.
Ability to handle multiple tasks and prioritize duties.
Ability to work independently and make independent decisions.
Proficiency in finding information through web-based information sources.
Attention to detail.
Experience with academic software, such as Banner, Degree Works,

Additional Information This position is classified as Exempt, grade J. Compensation for this grade ranges from $52,360 to $78,530 per year. Please note that the offered rate for this position will vary based on the successful candidate’s qualifications and experience, department budget, and an internal equity review.
